While Smart Cookies credits the Care to Share (CTS) money to Girl Scouts, it does not credit the packages from girl delivery with donation or cash Care to Share orders at the same time. You must allocate the Care to Share packages via the Virtual Cookie Share Tab (or Smart Booth Divider) in Smart Cookies. If you fail to allocate Care to Share, it appears that the Girl Scout has collected more money than cookies sold. For help determining when you will need to manually credit CTS reference the chart below.

This article works to further explain through various scenarios and flow charts how to allocate Care to Share in Smart Cookies. Each of these scenarios will begin with pulling the Pending Manual Cookie Share report from Smart Cookies. The Pending Manual Cookie Share report, reports Girl-Delivery with donation orders, total Cookie Share that has been manually entered, and the balance of Cookie Share which needs to be entered on each girl. Please note, the column “Total CS not part of IO”, can be ignored as our council does not place CTS orders as part of their initial order. Pending Manual Cookie Share Report

In this scenario Girl Scout Lisa Jones sold 5 CTS packages for girl-delivered via Digital Cookie. After reviewing the Pending Manual Cookie Share report (above), we can see that nothing has been credited in the “Total Cookie Share Manually Entered” column. This means the Troop Cookie Chair (TCC) must allocate 5 packages manually via the Cookie Share tab in Smart Cookies. Once they do the balance column on the Pending Manual Cookie Share report will become 0.

Girl Scout ONLY has Care to Share sold through Digital Cookie shipped and donated
In this scenario, a Girl Scout sold cookies for direct ship, with CTS donation via Digital Cookie. In this situation the system automatically credits the Girl Scout financially for all packages ordered, as well as automatically allocates the total CTS packages ordered to her. There is no further action required by the Troop Cookie Chair.
If you would like to verify this, you can pull the Girl Cookie Orders Detail report and identify how many Care to Share donations have been purchased through the Girl Scout by either Girl-Delivery or Direct Ship. You can use this report to verify the direct ship total.

Pending Manual Cookie Share Report

In this scenario, its a good idea to keep a log of these cash transactions in case you need to balance against the balance column on the Pending Manual Cookie Share report. There is a sheet we prepared for you to do this in the Inventory Management Toolkit, which is located in the Google Drive.
Girl Scout Anise Hansen sold 15 CTS packages and received cash. The Troop Cookie Chair would need to manually allocate these CTS packages via the Virtual Cookie Share tab in Smart Cookies. Since it was a cash payment, the Troop Cookie Chair will need to log the cash payment under the Financial Transactions tab under Girl Transaction. Then deposit the cash into the troop bank account. In the balance column of the Pending Manual Cookie Share Report, you will notice the total number of packages equal the amount in the Balance column.
Please note this example is if a Girl Scout has only had cash CTS sales, no digital sales.

In this scenario, it’s a good idea to keep a log of these cash transactions in case you need to balance against the balance column on the Pending Manual Cookie Share report. There is a sheet we prepared for you to do this in the Inventory Management Toolkit, which is located in the Google Drive.
With this given scenario we can look at two different Girl Scouts:
Olive Smith has sold 65 packages of CTS for girl delivered with donation, been credited for 28, and is owed a minimum of 37. But let’s assume of the 28 already credited, 5 of them are cash. This means Olive’s balance column should read a positive 5. The Troop Cookie Chair needs to credit an additional 42 packages via the virtual cookie share to balance to Olive.
Amy Wagoner has sold 10 packages of CTS for girl-delivered with donation, 12 packages in cash, and has been credited for 22 packages. In this scenario Amy is balanced because the “Balance” column matches her cash donations.
Girl Scout ONLY has Care to Share sold at booths
In this example the Girl Scout sold CTS cookies while at a booth. In this example she is using the troop inventory, not her personal inventory. As a result, the Troop Cookie Chair will allocate all cookies including CTS using the Smart Booth Divider.
